WorkSlate is an AI-powered field service management platform built specifically for trades businesses. It helps landscapers, HVAC techs, plumbers, electricians, and other trade professionals manage jobs, scheduling, invoicing, and customer communication from one place.
WorkSlate supports 17+ trades out of the box: HVAC, plumbing, electrical, mechanical/auto, landscaping, general contracting, roofing, pest control, cleaning, appliance repair, garage door, locksmith, tree service, fencing, painting, handyman, and a catch-all Other. Each trade gets tailored placeholder text, AI prompts, a starter catalog seeded during onboarding, and seasonal dashboard tips tuned to that trade's rhythm.
Yes. WorkSlate is fully mobile-responsive so your field technicians can access everything from their phones: creating notes, taking photos, tracking time, and updating job statuses while on site.
Any trades business that dispatches technicians, from solo operators to 50+ tech organizations. If you run service visits, estimate work, and invoice customers, WorkSlate covers the full lifecycle. Enterprise-only workflows (fleet management, complex inventory) are out of scope by design so the product stays simple enough for your team to actually adopt.

Yes. WorkSlate offers a 14-day free trial with full access to all features. No credit card is required to get started.
Three plans: Starter, Professional, and Business. Each tier adds capability (service agreements, projects, advanced reports, expanded AI Assistant actions). Visit the pricing page for full details.
Yes. Upgrade or downgrade from your billing settings whenever you need to. If you cancel, your account remains active until the end of the current billing period.
You pay for each active team member who needs to log in. Seats are reconciled automatically, so removing a user mid-cycle is reflected on the next invoice. Customers using the customer portal are never counted as seats.
The core AI features (voice-to-notes, photo intelligence, smart descriptions, duplicate detection, business insights) are included on every plan. The AI Assistant's action-taking capabilities expand as you move up tiers.
Jobs, Scheduling & Time Tracking
Jobs move through a clear status workflow and are assigned to technicians through a dedicated scheduling view. You can schedule by a customer's preferred time or browse the calendar to pick an open slot. The scheduler shows each tech's availability and flags conflicts before you commit.
Yes. Technicians clock in and out on a job from the job detail page. Logged time is tied to the tech and the job, rolls up into utilization and per-tech profitability reports, and can be pulled directly onto invoice line items.
Yes. Service Agreements let you define a recurring job template (weekly lawn visits, quarterly HVAC checkups, seasonal maintenance). WorkSlate generates every individual job upfront so you always know what's coming and nothing falls through the cracks.
Yes. Projects group related jobs under one record, so multi-visit installs, renovations, or seasonal programs stay organized with shared context and a combined view. Projects are available on Professional and Business plans.
Yes. Crews are saved groups of technicians (a two-person install team, a snow crew, etc.). Assign a crew to a job and everyone in it is scheduled together in one step.
Customers & Assets
Every job, estimate, invoice, message, note, and payment is tied to the customer record, so the customer detail page is a full relationship timeline. You can filter by date range, job type, or assigned tech.
Yes, through Service Assets. Each asset (an HVAC unit, a sprinkler zone, a specific vehicle) has its own history of visits, photos, and notes, so techs arrive with context and customers see a clear maintenance record in the portal.
Yes. AI detects likely duplicates across your list (subtle spelling, phone, or address differences) and groups them for review. You can merge or dismiss each pair, and dismissed pairs stay dismissed so you aren't re-prompted.
Yes. Customers can submit service requests from the portal. Your team triages each request into a new job or declines it, which cuts down on inbound calls while keeping everything captured in one place.
Estimates, Invoicing & Payments
Yes. Estimates are emailed with a link to the customer portal, where the customer can review, approve, or decline. Approval automatically moves the parent job forward and notifies your team.
Yes. Create invoices, send them to customers, and accept online card payments through Stripe Connect (funds go directly to your bank account). WorkSlate also supports batch invoicing (multiple jobs on one invoice), automatic overdue reminders, and a full AR aging report.
WorkSlate tracks overdue invoices automatically and sends reminder emails on a dunning schedule. The AR aging report groups everything outstanding into 0-30, 31-60, 61-90, and 90+ day buckets so collections stays systematic.
Yes. Issue a credit note against any invoice for a partial or full amount. Credit notes generate their own PDF, reduce the customer's outstanding balance, and show up alongside the original invoice in the portal.
Yes. Define as many tax rates as you need and attach them to catalog items or individual line items. Taxes calculate on estimates, invoices, and receipts, and the Tax report gives you the breakdown for filing.
AI & the Customer Portal
Voice-to-notes (techs speak and AI generates professional service notes in under 30 seconds), photo captions (AI describes before/after images), smart descriptions for estimates and catalog items, duplicate customer detection, communication drafts, business insights, and a conversational AI Assistant.
The AI Assistant answers questions about your business in plain English (look up customers, check tech availability, summarize recent jobs). On Professional and Business plans it can take actions for you: create jobs, schedule appointments, send invoices, and more, from voice or chat commands.
A branded, mobile-friendly space where your customers view and approve estimates, pay invoices, track job progress, see history on their service assets, message your team, and submit new service requests. It uses your logo, colors, and domain branding.
Yes. Mass SMS broadcasts reach all active customers with one message, ideal for storm alerts, seasonal reminders, or promotion announcements. Opt-outs are respected automatically, 'Reply STOP to unsubscribe' is appended, and delivery goes through Twilio with per-tenant rate limiting.
Team, Reports & Data
Three roles: Owner (full access including billing), Admin (full access except billing), and Technician (field-focused access to jobs, scheduling, and time tracking). Change a team member's role at any time.
Yes. Each user has a weekly working hours grid. The scheduler uses it to show availability, prevent double-booking, and warn when a job is scheduled outside a tech's hours.
Ten report types covering jobs, revenue, profitability, customers, estimate funnel, AR aging, service agreements, utilization, tax, and per-technician profitability. Reports update live and can be filtered by date range, job type, and team member.
Yes. WorkSlate supports importing customers and service assets so you don't need to re-enter data manually. Our onboarding walks you through it.
Yes. Reports can be exported, and every estimate, invoice, receipt, and credit note can be downloaded as a PDF individually or in bulk.
Getting Started
Most businesses are up and running within a day. Guided onboarding walks you through your company profile, inviting your team, configuring your catalog, and creating your first job.
From Settings > Team, invite team members by email. Each person sets up their own login with role-based permissions, so you control who can access scheduling, billing, reports, and other areas.
No. Sign up, verify your email, and you're in the product. No demo gatekeeping, no required sales call.
Security & Reliability
Yes. WorkSlate uses row-level security so each tenant's data is completely isolated. Data is encrypted in transit and at rest, and the platform runs on Supabase and Vercel infrastructure.
Only your team members and the customers you give portal access to. Strict multi-tenant isolation means no other business can ever access your data, and customer-portal users only ever see their own records.
Your account stays active through the end of your billing period, giving you time to export reports and PDFs. After cancellation your data is retained for a short grace period in case you reactivate, then removed.
